Position Overview
The Family Case Manager / Administrative Assistant plays a vital dual role in supporting the mission of Family Promise of Greater Helena. This position is responsible for providing compassionate, structured case management services to families experiencing or at risk of homelessness, helping them achieve sustainable independence. Additionally, the role provides essential administrative support to ensure smooth, efficient daily operations of the organization's office, shelter programs, and community outreach efforts.
Requirements
Primary Responsibilities
1. Family Case Management (Estimated 60%)
- Conduct intake assessments, screenings, and orientations for families entering the program to identify barriers, immediate needs, and goals.
- Develop, implement, and monitor individualized, goal-oriented case plans with families, focusing on housing stabilization, employment, budgeting, and life skills.
- Meet regularly with participants to review progress, provide accountability, and adjust action steps as necessary.
- Connect families with local community resources, including housing authorities, social services, childcare, mental health professionals, and employment training.
- Maintain accurate, up-to-date, and confidential client files and digital records within internal databases.
- Provide crisis intervention and advocacy for families navigating complex social services and legal systems.
- On call duties as needed
- Inform Executive Director of family progress and needs or concerns that may need to be addressed
Administrative Operations (Estimated 40%)
- Manage daily office operations, including answering phone calls, responding to general email inquiries, and welcoming visitors or donors.
- Assist with data entry, tracking program metrics, and compiling documentation needed for operational grant reporting and fundraising initiatives.
- Coordinate logistics and scheduling for shelter operations, volunteer rotations, and community outreach events.
- Procure, organize, and manage inventories of office supplies and direct-aid donations (e.g., hygiene items, household goods).
- Draft professional correspondence, newsletters, and promotional materials as requested by leadership.
- Be able to do light web design and update social media
- Input information from First Christian Church into weekly PPT/ bulletin for Sunday worship and provide light office management, send out E-news weekly
